Accounts
Every customer who buys from you, worked out from their real sales: the last order, how often they usually order, sales in the last 90 days and 12 months after returns, credit used against their limit and open quotes. Each account is marked Active, Reorder due (past their usual gap), At risk (twice the gap, or quiet for up to 180 days) or Lapsed. Add a profile to keep the account type, tier, owner, payment terms, several contacts and, for spare parts shops, the fleet they run. Part of the CRM: leads & pipeline add-on.
Steps
- Open CRM → Accounts. "Need a call" lists the accounts due to reorder and at risk, biggest buyers first; "Over credit" lists those above their credit limit.
- Press WhatsApp on a quiet account to send a friendly reorder message to its phone.
- Press "Add profile" (or "Profile") to set the account type, tier A/B/C, the account owner, payment terms in days and the usual reorder gap; add each contact with their role, phone and email and tick the main contact and who decides.
Tips
- The usual gap is the days between the first and the last order divided by the order days in between; type a reorder gap on the profile when you know it better (a workshop that buys every week).
- The account types follow your business: workshops, fleets, body shops and resellers for spare parts; contractors, factories, maintenance (MRO) and oil and gas for industrial supply.
