Custom print formats for pre-printed paper
If your invoice books already carry your logo, address, column headings and terms, make a custom format: StartERP prints only the data (customer, products, amounts, totals, ZATCA QR) where your paper has room for it, on any paper size, with no labels. Pick it by name in the Print Center and on the POS payment screen.
Steps
- Open Settings → Printers & invoice printing → Custom formats and click New custom format.
- Give it a name (for example “A5 bill book”) and tick the documents it prints: sales invoices, returns, quotations, delivery notes, purchases…
- Under Paper pick a size or type the width and height of your sheet in mm. Upload a scan or photo of a blank sheet to see it behind the fields; it is never printed.
- Under Data to print click the values you need: invoice number, date, customer name, VAT number, address, totals, amount in words, the ZATCA QR code or your own text. Each one appears on the page.
- Drag each value to its place on the sheet and drag its blue dot to make it wider. Or select it and type X, Y and Width in mm; set the font size, bold and alignment.
- Tick Items table for the products: move it onto the item area of your sheet, set the row height and rows per sheet, and pick the columns (no., product, qty, unit price, VAT, line total…).
- Set each column's width to match the column lines of your paper: click the items table and drag the blue line at a column's right edge onto the paper's line (the width in mm shows above it; arrow keys move it 0.5 mm, Shift 5 mm), or open Columns & widths… and type where each column starts and its width in mm. Dragging the line between two columns makes one wider and the other narrower, so the columns after them stay put; typing a width moves the columns next to it along. The widths are saved with the format and print exactly as set.
- Click Save format, then Test print on a blank or pre-printed sheet. If everything is a little off, set the Printer offset instead of moving every field.
- To print in it: in the Print Center pick it under Custom formats; on a POS terminal choose it in the Default print format list at the bottom of the payment screen; or make it the template of a document in Document routing.
Tips
- In the print dialog choose the same paper size (or Actual size) and no margins, so the values land where you placed them.
- More lines than the table's rows continue on the next sheet with every field printed again; totals, amount in words and the QR print on the last sheet.
- If a value is cut off, its column is too narrow: widen it. Columns that print over each other are listed under Check before printing.
- A Saudi tax invoice must carry its ZATCA QR code: place the QR field where the stationery has a free square.
- PDFs and WhatsApp shares keep the full A4 invoice, because whoever receives them has no pre-printed paper.
- Formats are kept on the server for each store, so every device and till offers the same ones. Only users who may edit the store settings design them.
