Work orders
What one piece of each product you make takes (its bill of materials: the materials, and the labour and overhead per piece) and the work orders that make it for a customer by a due date. When a work order is done, its materials leave stock and the pieces made arrive at their real cost, compared with the bill of materials. Part of the Bill of materials & work orders add-on for tailors, interior design, jewellery and industrial suppliers.
Steps
- Add the materials you buy (fabric, boards, gold, steel...) and the product you make as stocked products, if they are not there yet.
- Open Sales → Work orders → Bills of materials and press New bill of materials. Pick the product, then each material with the quantity one piece takes, and the labour and overhead per piece. The cost of one piece shows as you type.
- On the Work orders tab press New work order: pick what to make, the pieces, the due date and the customer. Press Start when the work begins.
- Made to order on an invoice: press From an invoice, pick the sales invoice and the due date. Each line of it you have a bill of materials for becomes a work order with the invoice's customer and number; an invoice gets one work order per product.
- Press Done and type the pieces made. The materials for the pieces ordered leave stock, the pieces made arrive at their cost, and the order shows its cost against the bill of materials.
- Materials needed shows what the planned and started orders still take against the stock on hand, the short ones first, so you can buy them before the work starts. Report shows, for any period, the orders done, their cost against the bills of materials and how many were on time.
Tips
- When fewer pieces are made than ordered, the materials of the whole order still left stock, so each piece made costs more: the difference shows as more than the standard.
- A work order is never deleted. Cancel it instead: a done one puts its materials back and takes its pieces out of stock.
- A material bought in one unit and used in another (a roll used by the metre) needs how many of the use unit are in one stock unit, in the box that shows beside it (for example metres in one roll).
