ZATCA e-invoicing (Phase 2)
How StartERP signs, clears and reports your invoices and credit notes to ZATCA through the Fatoora platform.
Steps
- ZATCA e-invoicing (Phase 2) is an add-on module for Saudi stores: add it in Settings → Subscription & billing. Phase 1 QR codes on every invoice are free without it, and stores already connected to ZATCA keep Phase 2.
- Connect the branch once in Settings → ZATCA credentials with the OTP from the Fatoora portal (fatoora.zatca.gov.sa).
- On a sales invoice or sales return keep “Report to ZATCA” / “Report credit note to ZATCA” ticked and save — it is submitted automatically.
- From a document page click “ZATCA Report” (or “Report to ZATCA now” in the ZATCA e-invoice card) for anything not yet reported.
- While a report is on its way, the document shows “ZATCA reporting in progress” (in lists, on the document page and at the POS) instead of Not reported; it changes to Reported, Cleared or Failed as soon as ZATCA answers.
- In bulk: in Sales invoices or Sales returns filter ZATCA = Not reported or Failed, tick the rows and click “Report to ZATCA”.
- If a document shows Failed, read the error in the red banner, click “Edit buyer details”, correct it and press “Retry”.
- Check the result in the ZATCA e-invoice card: status, invoice type, UUID, invoice counter (ICV), previous hash (PIH), signature and QR code.
Tips
- Standard tax invoice (B2B, buyer has a VAT number) is sent for clearance and becomes Cleared before you share it. Simplified invoice (B2C, no buyer VAT) is Reported within 24 hours.
- BR-KSA-44 means the buyer VAT number is invalid: it must be 15 digits beginning and ending with 3.
- Never edit a cleared or reported invoice to correct it — issue a credit note with “Create return” (type 381). Editing only saves a revision and shows a warning.
- Phase 1 (not connected): every invoice still prints a QR code with seller, VAT no., time, total and VAT. Phase 2 adds the signed XML, hash chain and clearance / reporting.
- The PDF of a reported sale, sales return, credit note or debit note (downloaded, or shared on WhatsApp or by email) has its signed XML inside it as a PDF/A-3 attachment (open the PDF reader's attachments panel to see it), and a “Zatca signed xml” link that opens the XML without a sign-in. The link's place, or hiding it, is set in the Print Center under Content; the “Zatca signed xml” button at the bottom of the Print Center opens the XML in your browser. Documents not reported yet keep a plain PDF.
- ZATCA requires Arabic on tax invoices: print in Arabic + English or Arabic only.
