Steps

  1. Turn it on in Settings → Store → POS terminal → Manager approval.
  2. Each manager sets their own POS PIN (4 to 8 digits) in My profile → POS PIN. The PIN is kept scrambled and never shown.
  3. Set each role's Max discount % in Settings → RBAC. A cashier who gives more than that and presses Pay sees the Manager approval screen.
  4. The manager types their PIN and presses Approve. The approval covers that one sale and that discount, for ten minutes.
  5. Changing a line's price asks for a manager's PIN too, unless the role may change prices. Removing a line or voiding the bill is allowed for cashiers and only logged. Set what each role may do in Settings → RBAC → the role → At the POS till.
  6. Open Sales → POS event log to see who approved what, on which till and shift, and the sale it was for. Filter by action or till, or export to Excel.

Tips

  • Only a user with access to the store, who can edit sales, and whose own role allows the discount can approve it. A cashier's own PIN never approves their own discount.
  • Five wrong PINs in a row lock approval for that cashier for five minutes.
  • Manager approval needs a connection: without internet a discount over the limit cannot be approved.
  • In a restaurant or cafe, removing or lowering a dish already sent to the kitchen asks for a reason (changed mind, wrong order, cooked wrongly, complaint, too slow, out of stock, other) and whether it was already cooked. It is always logged, even with Manager approval off, and the event log's Kitchen voids card totals them by reason and by staff.
  • In a restaurant, cafe or bakery, tap a dish on the bill and press On the house to give it free: pick a reason (guest complaint, long wait, regular guest, birthday, owner's guest, tasting, other). It stays on the bill and goes to the kitchen, its food still leaves stock, and the sale keeps its menu price with all of it off. Charge it puts the price back.
  • For a staff meal, press Discount → Staff meal and type or pick who is eating: the whole order is free and named for them.
  • A role gives dishes on the house only with the switch Give a dish on the house or a staff meal in Settings → RBAC → the role → At the POS till (on for roles that can edit sales). Without it a manager's PIN is asked, even with Manager approval off. The event log's On the house card totals them by reason, by who gave them and staff meals by who ate, at menu value and at cost.
